# NexBoard

> Put a tablet beside each resource to display live availability, let customers book meeting rooms, desks, and studios themselves, and extend or cancel existing bookings.

## Overview

**NexBoard** turns a tablet into a booking station for a specific resource. Place one next to a meeting room, desk, or studio and customers can see whether it's free, book it on the spot, extend a booking, or cancel — no front-desk involvement.

## How it works

* One tablet per resource (or per unit within a multi-unit resource).
* The tablet shows the resource's **live availability** using real-time updates (SignalR), so the display is always current.
* Bookings flow straight into Nexudus, keeping the calendar, floor plan, and reports in sync.

## Home screen

Once a resource is assigned to the tablet, the home screen shows:

* **Resource name and type** — e.g. "Meeting Room A · Meeting Room".
* **Current status** — available, booked, or in maintenance.
* **Nearest booking** — who has the next booking and when it ends.
* **Availability timeline** — a visual strip showing upcoming bookings for the day.
* **Multi-unit availability** — for resources with multiple units (e.g. a 10-desk hot-desking area), shows how many units are free.
* **Last cleaned** — when the resource was last marked as cleaned (if enabled).
* **Standby display** — when idle, the tablet shows a branded background image with the resource name, clock, and status. Tapping wakes it to the booking interface.

## Booking flow

1. **Select a time slot** — tap an available slot on the timeline or use the time picker.
2. **Identify yourself** — scan your member QR ID from the space's app, or sign in with your Members Portal credentials.
3. **Confirm the booking** — review the time, duration, and any pricing.
4. **Pay upfront** (if required) — some resources require payment before the booking is confirmed. See [payment requirements](#payment-requirements) below.
5. **Confirmation** — a confirmation screen shows the booking details.

### Extending a booking

If you're currently in a booking, the home screen offers an **extend** option. You can add time to your existing booking subject to availability.

### Cancelling a booking

Bookings can be cancelled from the tablet, subject to your cancellation policy.

## Resource restrictions

Certain resources can be restricted:

* **Members only** — only subscribers can book.
* **Contacts only** — only non-member customers can book.
* **Specific teams** — only members of designated teams can book.
* **Specific business** — only customers with a particular home location can book.

Restricted resources show a notice explaining who can book and how to gain access.

## Payment requirements

Depending on your booking settings:

* **Cancel unpaid bookings** — if enabled, bookings that aren't paid within a set period are automatically cancelled. The tablet prompts for upfront payment.
* **Credit balance required** — if enabled, the customer must have sufficient credit to book. Insufficient credit blocks the booking.
* **Confirmation required** — some resources require admin confirmation before a booking is finalised.

## Multi-unit resources

For resources with multiple identical units (e.g. a row of hot desks):

* The tablet can represent the **whole resource** (showing "7 of 10 desks available") or a **specific unit** (showing "Desk 3 — available").
* Unit assignment is done in the Admin Panel.
* When a specific unit is assigned, the tablet only shows that unit's availability.

## Floor plan integration

NexBoard integrates with the floor plan:

* Resources mapped to the floor plan show their position.
* Desk-level granularity for hot-desking areas.
* Real-time colour-coded status on the floor plan mirrors what's shown on the tablet.

## Member login

Members can identify themselves on the tablet by scanning their member QR ID (from the space's app) or signing in with their Members Portal credentials — the same ones they use online.

## Beacon triggers

NexBoard supports **iBeacon** triggers:

* Walk up to the tablet with your Passport app and it can detect your proximity via BLE beacon, speeding up identification.

## Standby display

When the tablet is idle (no touch for \~20 seconds), it transitions to a **standby display**:

* Branded background image (configured per resource).
* Resource name and type.
* Live clock.
* Current status (available/booked).
* Nearest booking info.

Any tap returns to the interactive booking interface.

## How to set up

    In the Admin Panel, link the tablet to the resource it represents. You need a full unrestricted admin, or a restricted admin with the [NexBoard role](/apps/user-roles).

    Set the standby background image, visibility of the "last cleaned" timestamp, and any resource-specific messaging.

## Settings

Configure NexBoard from its settings page in the Admin Panel:

* **Resource assignment** — which resource (and unit, if applicable) the tablet represents.
* **Standby image** — background photo shown when idle.
* **Show last cleaned** — display the last-cleaned timestamp on the home screen.
* **Booking interval** — minimum booking increment (e.g. 30-minute slots).
* **Multi-day bookings** — allow bookings that span midnight.
* **Show booker name** — display the customer's name on the availability feed.
* **Branding** — colours, fonts, and location name.
