# Resource Rules

> Apply booking limits only in certain conditions — for some customers, plans or teams, at certain times, or above a booking price — across one or many resources.

## Overview

A **resource rule** applies booking limits only when certain conditions are met. For example:

* Only members can book the conference room.
* Contacts must book phone booths at least 24 hours ahead.
* Bookings over \$500 can't be made in the last 48 hours.
* Cancellations within 48 hours cost 25% and within 24 hours cost 50%.

A resource's own [limits](https://learn.nexudus.com/platform/billing/resources/limits.md) apply to everyone. Rules add extra limits for the customers, times and bookings that match their conditions. One rule can cover a single resource, a group of resources or every resource in a location.

## How to access

* **All rules**: **Inventory → Resources → Resource rules**.
* **Rules for one resource**: open the resource and go to its **Rules** tab.

## Key concepts

| Term | Meaning |
| - | - |
| **Conditions** | When the rule applies: to whom, when, and for which bookings. |
| **Limits** | What the rule enforces when its conditions are met. |
| **Evaluation order** | The order Nexudus checks rules in when more than one applies to a resource, 1st first. |
| **Stop the evaluation of other rules if this one is met** | When a rule with this option applies, the rules after it are skipped. |

## Create a rule

Select **Add rule** and choose a wizard for a common setup, or **Manual entry**.

### Wizards

| Wizard | Creates |
| - | - |
| **Strict cancellation cutoff** | One rule that blocks cancellations within a number of hours of the start. |
| **Stepped cancellation fees** | Two cancellation fee rules, one for a longer window and one for a shorter final window, added in the right order. |
| **Advance booking notice** | One rule that requires bookings to be made at least a number of hours ahead. |
| **High-value last-minute restriction** | One rule that blocks high-value bookings close to their start time. |

### Manual entry

**1. Rule details**

Choose the **Location** and the **Resources** the rule covers. Leave **Resources** empty to cover all resources. Enter a **Rule name**, set the **Evaluation order**, and turn on **This rule is active**. Turn on **Stop the evaluation of other rules if this one is met** only if later rules should be ignored when this one applies.

**2. Conditions**

On the **Conditions** tab, set when the rule applies (see below).

**3. Limits**

On the **Limits** tab, set what the rule enforces (see below).

**4. Save**

Select **Save changes**. The rule applies straight away.

Rules created from a resource's **Rules** tab cover that resource. Include the resource or group name in the rule name, so you can tell rules apart when you set the evaluation order.

## Conditions

| Condition | Options |
| - | - |
| **Customer types** | **This rule applies to:** all customers, only members, only contacts, or members on specific plans. You can also limit the rule to specific teams or specific customers. |
| **Days and times** | **Apply this rule from** and **Apply this rule until** a date, and **Only apply this rule when the booking starts within** a set time. You can also check the cancellation timing, for example to apply a rule only to cancellations inside a window. |
| **Booking price** | **Only apply this rule when the booking price is at least** or **at most** an amount. |
| **Events** | Whether the rule applies to event attendees. |
| **Courses** | Apply the rule to customers who have completed specific courses. |

## Limits

| Limit | What it does |
| - | - |
| **Custom message** | **Reject bookings and show customers the following message**. Every booking that meets the conditions is rejected with your message. This can't be combined with other limits in the same rule. |
| **Available times and days** | When the resource can be booked under this rule. |
| **Requests and cancellations** | Advance and late booking limits, late cancellation limits or fees, and repeat booking limits. |
| **Duration** | Maximum and minimum booking length and a fixed interval. |
| **Members** | Restrict booking to members on specific plans or in specific teams. |
| **No-return policies** | Required gaps between bookings. |

These work like the matching sections of a resource's [limits](https://learn.nexudus.com/platform/billing/resources/limits.md).

## Evaluation order

When several rules cover a resource, Nexudus checks them in evaluation order, 1st first. A rule's evaluation order is the same for every resource it covers, so plan the order across both location-wide rules and rules for single resources.

**Stop the evaluation of other rules if this one is met** skips every later rule once this one applies. For example, if a resource has three rules and rule 2 has this option on, rule 3 is ignored whenever rule 2 applies.

> [!WARNING]
>
> Don't turn on **Stop the evaluation of other rules if this one is met** for your 1st rule unless you mean it: when that rule applies, no other rule is checked, including cancellation fee rules.

## Stepped cancellation fees

To charge different fees depending on how late a customer cancels, use the **Stepped cancellation fees** wizard. It asks for:

* **Rule name prefix**
* **Longer window (hours)** and **Shorter window (hours)**, for example 48 and 24
* **Fee for the longer window (%)** and **Fee for the shorter window (%)**, for example 25 and 50
* **Cancellation fee product**, the product used to invoice the fee

It creates two rules whose cancellation windows don't overlap, so customers are never charged both fees, and orders them so they're evaluated correctly.

> [!TIP]
>
> If you build stepped fees by hand, make each rule's cancellation window a range, for example "between 48 and 24 hours" and "within 24 hours", so both fees can't apply to the same cancellation.

## Turn a rule off

Open the rule and turn off **This rule is active**. It stops applying but stays saved, so you can turn it back on later.

## Tips

* Start with the resource's own limits, and add rules only for exceptions.
* Keep rules few and specific. Many overlapping rules are hard to reason about.
* Test a new rule by booking as a customer the rule should affect, and as one it shouldn't.
