Overview

Nexudus charges you every month based on the number of active users in each of your locations. Understanding who counts as an active user helps you predict your subscription fee.

Who is an active user?

Any customer who meets one or more of the following conditions since your last Nexudus invoice is counted as an active user on your next invoice:
  • Had a free or paid contract. This applies to any non-cancelled contract in their account, including contracts that haven’t started yet.
  • Purchased a free or paid recurring product.
  • Made a free or paid booking.
  • Were invoiced for bookings, products, plans, or charges.
  • Were part of a team with merged invoicing, and their team’s paying customer meets any of the conditions above.
If you manage a network where customers visit and use multiple locations, a customer is added to the active user count of every location where they meet one or more of the conditions above.

Contacts

If a contact meets any of the conditions below, we add them to the active user total on your next Nexudus invoice.

Members

Members are always active users, since they have at least one contract in their account. Members with zero-value contracts are still considered active users.

Checking your active user count

You can check your active user count at any time under Settings → Your Nexudus subscription → Active users on the Admin Panel. The Source column tells you what made each customer an active user at a glance, and you can filter the list by source. The conditions that turn a customer into an active user are:
  • Having an active contract
  • Being in a team with merged billing
  • Making a booking
  • Being invoiced
  • Having a recurring product

FAQ

Are suspended customers added to the active user count?

If a suspended customer met any of the listed conditions at any point during the month being billed, they count as an active user. For example, if you suspend a customer on the 15th of March but they met one of the conditions before that suspension, they’re included in your active user count for March. If they remain suspended, they don’t count towards the active user count in April.

Are archived customers added to the active user count?

Customers who are archived on your Nexudus subscription’s billing day are automatically excluded from the active user count.

Why is the active user count on my invoice higher than on the Admin Panel?

Because of when we invoice you, the Admin Panel may show a slightly lower number for a few reasons:
  • Contacts with bookings, invoices, or recurring products in the previous month don’t count towards your total for the following month until they meet a condition again.
  • Members whose active contract was set to cancel after we invoice you don’t count towards the following month until they meet a condition again.

Are admins with a customer account counted twice?

No. Admins with a customer account aren’t added to the active user count as customers, unless they meet one of the active user conditions. For example, an admin who makes a booking for themselves — even free of charge — is added to the active user count for the current month.
