Overview

NexIO puts a self-service check-in/check-out kiosk at your reception. Visitors and members badge themselves in and out without waiting for staff, freeing your front desk. Beyond basic check-in, NexIO also handles parcel delivery notifications and can place VoIP calls to connect visitors with their hosts. NexIO home screen

Home screen

The home screen adapts to your settings. Available actions:
  • Check in — members and visitors find themselves and check in.
  • Check out — anyone currently checked in can check out (when enabled).
  • Register as a visitor — walk-in guests create a visitor record on the spot (when self-registration is enabled).
  • Parcel delivery — mark a parcel as delivered and notify the recipient (when deliveries are enabled).
  • Live occupancy — a capacity indicator showing how many people are currently in the space, polled every 5 minutes (when enabled).

Check-in methods

Which check-in methods appear depends on your settings: You can mix and match — for example, enable QR for everyone and PIN for members only.

Multiple-person check-in

If a PIN or QR code maps to a household or team account, NexIO shows all eligible people and lets you check in one or several at once.

Visitor registration

When visitor self-registration is enabled, walk-in guests can:
  1. Enter their name, email, and the name of the person they’re visiting.
  2. Agree to your terms and conditions (if required).
  3. Receive a visitor record that appears in the Admin Panel.
If host approval is required, the visit stays pending until the host approves it from the Admin Panel or receives a notification.

Parcel delivery

When deliveries are enabled, staff or visitors can:
  1. Search for the recipient by name.
  2. Mark the parcel as delivered.
  3. The recipient is notified that their parcel has arrived.

VoIP calls

When VoIP is enabled (requires Twilio), NexIO can place phone calls directly from the tablet:
  • Visitor → Host — a visitor checks in and taps to call the person they’re visiting.
  • Staff → Member — when handling a delivery, staff can call the member the parcel is for.
  • Courier → Reception — a delivery driver can call your reception number from the tablet.
The tablet acts as a speakerphone, so no handset is needed.

How to set up

Prepare the tablet

Use a tablet that meets the device requirements and disable auto-lock so the screen stays on.

Activate the app

In the Admin Panel, activate NexIO for the location(s) where you’ll use it. Setup takes a few minutes and only needs to be done once.

Configure check-in methods

Enable the check-in methods you want (PIN, QR, Bluetooth) and decide whether visitors can self-register, whether host approval is required, and whether to show live occupancy.

Settings

Configure from the NexIO settings page in the Admin Panel:
  • Check-in methods — PIN, QR code, and Bluetooth toggles for members and visitors separately.
  • Visitor self-registration — allow walk-in guests to create their own visitor record.
  • Host approval — require the host to approve visits before they’re confirmed.
  • Terms and conditions — require visitors to agree to your T&C during registration.
  • Check-out — allow people to check themselves out.
  • Live occupancy — show a real-time headcount on the home screen.
  • Parcels and deliveries — enable the delivery flow and VoIP notifications.
  • VoIP — enable phone calls and set the reception number.
  • Branding — colours, banner image, and location name.
