Overview

Plans are the core membership offerings you provide to members. Each plan defines what members get access to, how much they pay, and how often they’re billed. Plans are the foundation of your billing model and directly impact member experiences.

Purpose

Plans solve several key business needs:
  • Revenue generation: Define what members pay and how often
  • Service differentiation: Offer multiple options (full-time, part-time, dedicated, hot desk, storage, etc.)
  • Benefit bundling: Package access passes, booking credits, and extra services together
  • Billing automation: Set automatic renewal and payment schedules
  • Business flexibility: Support multiple pricing models and billing frequencies (monthly, weekly, or custom periods)

Plan Types

Plans are categorized by access model and space type:

Choose the type that best matches how members will use your space. This classification helps members find plans that suit their work style and also affects how the system validates bookings and access.

Supported HTML formatting

Plan descriptions support rich HTML formatting. When creating or editing a plan description, you can use the following HTML elements and attributes:

Allowed HTML tags

Basic text formatting: <p>, <br>, <strong>, <b>, <em>, <i>, <u>, <s>, <code>, <pre>, <h1><h6>, <blockquote>, <ul>, <ol>, <li>, <dl>, <dt>, <dd>, <table>, <thead>, <tbody>, <tfoot>, <tr>, <th>, <td>, <hr>, <div>, <span> Rich media: <a>, <img>, <video>, <iframe>

Allowed attributes

Links (<a>): href, title, target, rel Images (<img>): src, alt, title, width, height, style Videos (<video>): Standard HTML5 video attributes Embedded content (<iframe>): src, width, height, allow, frameborder, allowfullscreen, style (YouTube videos are supported)
Use target="_blank" on links to open them in a new tab. Embedded videos and iframes only support YouTube content.

Creating a Plan

To add a new plan to your space:

Navigate to Plans Management

Go to InventoryPlans from your admin dashboard.

Click Add Plan

Select the option to create a new plan.

Enter Basic Information

Provide: - Plan name: What members see (e.g., “Full-time Private Office”) - Description: Benefits summary shown to prospects - Plan type: Select from the list above (Full-time Private Office, Part-time Desk, etc.) - Group name (optional): Organize related plans under a category for better display

Set Pricing and Billing

Configure: - Price: What members pay per billing period - Currency: The money type (auto-set to your space’s currency) - Billing frequency: Monthly, weekly, or custom period - Invoice renewal date: Whether to invoice monthly or by weeks - Tax rate: Applied at checkout

Add Included Benefits

Define what’s included in the plan by adding:

Access Passes

  • Time passes: Include a number of access passes that renew on a schedule (monthly, weekly, etc.)
  • Example: “20 access passes / month” or “4 passes / week”

Money Credits

  • Meeting room credits: Allow members to book meeting rooms for a set number of hours or credits per period
  • Event credits: Allow attendance at community events
  • Universal credits: Credits that work across multiple services

Time credits or other services

  • Time credits: A type of credit that can be used to pay for resource usage (e.g., meeting rooms) in terms of time or number of uses.
  • Printing: Monthly printing allowance (if printing is available at your space)
  • Mailbox: Physical mailbox access
  • Lockers: Storage locker access
  • Custom services: Any other billable service you offer
Each benefit specifies how many are included and how often the allocation renews (monthly, weekly, etc.).

Set Contract Terms

Specify: - Default contract term: The minimum commitment period (e.g., 1 month, 3 months, 1 year) - Terms and conditions: Custom text members must accept before signing up - Keep new accounts on hold: If enabled, new signups require approval before access is granted

Configure Restrictions (Optional)

Set optional usage limits:
  • Check-in limits: Max check-ins per week or per month
  • Hours limits: Max hours per week or per month
  • Booking credit limits: Max credits that can accumulate
These prevent abuse of unlimited plans and ensure fair resource allocation.

Availability Settings

  • Pause policy: Whether members can pause (freeze) their contract - Cancellation policy: Whether members can cancel through the portal or must contact you

Publish Your Plan

Once created, your plan is immediately available to members browsing the Members Portal unless you’ve restricted plan visibility in portal settings.

Core Behavior

Billing and Renewal

Automatic billing:
  • Members are automatically billed on their contract renewal date
  • Each renewal period is automatically invoiced based on your pricing
  • Members see their next renewal date and next price in their dashboard
Price changes:
  • New members joining a plan are billed at the current price, not historical rates
  • Price locking: Contracts can lock in the price at the time of signing, ensuring members pay the same rate throughout the contract term, regardless of plan price changes.
  • Price unlocking: Contracts can be set to follow the current plan price, meaning the price adjusts automatically at each renewal based on the latest plan pricing.
Billing flexibility:
  • Monthly, weekly, or custom period billing cycles
  • You control the day of the month (or week) billing occurs
  • Prorated charges for mid-cycle joins or changes

Upgrades and Downgrades

Members can switch between plans:
  • They keep the same contract start date
  • Their billing day remains the same
  • Pricing adjusts (with proration if needed) on the next renewal cycle
  • Some plans can be scheduled to change on a future date

Pausing Contracts

Members can pause (freeze) their plan if enabled:
  • Specify a number of billing cycles to pause
  • During the pause period, no charges occur and no benefits are available
  • Members resume access on the specified resume date
  • Can also resume immediately for an additional fee (operator-configurable)

Cancellation

Members can cancel through the portal if allowed by the plan:
  • They specify a cancellation reason (helps you understand why)
  • They can include cancellation notes
  • Cancellation takes effect on the earliest allowed date
  • Some plans don’t allow portal cancellation (operator can only cancel)

Key Interactions

With Billing and Contracts

Plans directly generate contracts:
  • When a member purchases a plan, a contract is created
  • The contract records their start date, renewal schedule, price, and status
  • Contracts track active, paused, and cancelled states
  • Members can view all their active contracts in their dashboard

With Bookings

Plan-specific settings allow you to customize resource access and pricing:
  • Special pricing: Assign different rates for resources based on the member’s plan. For example, meeting rooms can have discounted rates for premium plan members.
  • Exclusive access: Restrict certain resources to members in specific plans. For instance, a private lounge may only be available to executive plan members.
  • Custom rules and policies: Apply specific usage rules or policies to resources based on the member’s plan. For example, part-time plan members may have limited booking hours, while full-time members have unrestricted access.

With Products

  • Plans can include products as components, and they are billed every time the product is billed.
  • Products can be set to be available to customers in specific plans.

With Teams

Team members can inherit the team’s default plan (if set):
  • When a team is created, you can optionally set a default plan
  • If a default plan is set, new team members are assigned that plan automatically
  • Team members can sometimes upgrade or change plans independently

With Portal Access

Plan status controls what members see:
  • Active members (with current contracts) access all member sections
  • Contacts (no active plan) can browse and create proposals
  • Suspended members (contract issues) lose access but may still see content
  • Plan visibility can be restricted to logged-in users only

Important Implications

Non-Obvious Consequences

Cancellation dates matter:
  • Members have an “earliest cancellation date” based on contract terms
  • Cancelling before that date may involve penalties (not enforced by the system—operator must handle manually)
  • Cancellation takes effect on the anniversary of their membership, not immediately
Pausing affects renewal:
  • If a member is paused when their renewal date comes, they’re not charged
  • The renewal cycle resumes after the pause period ends
  • This can shift their renewal date compared to other members
Price changes during contracts:
  • Existing members keep their current price until renewal
  • New members on the same plan pay the updated price immediately
  • You can schedule a price increase that applies only to renewals
Booking credits are use-it-or-lose-it:
  • Credits reset every period (month, week, etc.)
  • Unused credits don’t roll over
  • Members should understand this to avoid wasting their benefits

Configuration Decisions

When creating plans, consider:
  1. Commitment vs. flexibility: Do your members want long-term stability or month-to-month flexibility?
  2. Pricing clarity: Is a single price or multiple tiers clearer for your market?
  3. Benefit abundance: Overproviding benefits erodes revenue; too few restricts appeal
  4. Cancellation policy: Strict terms reduce churn but may discourage signups
  5. Pause availability: Offering pauses reduces cancellations but delays revenue
  6. Access passes: How many is enough? Set realistic numbers based on your space capacity

Visibility and Marketing

Plan visibility on your Members Portal:
  • All published plans show on the plan selection page (unless hidden via settings)
  • Members see pricing, descriptions, and included benefits
  • Members can compare plans side-by-side with features highlighted
  • You can feature or “recommend” specific plans to guide member decisions
  • Plans can be hidden from the portal if you’re retiring them (existing contracts remain active)

Relationship to Admin Configuration

Your admin dashboard controls how plans appear and function:
  • Terms & Conditions: Set global payment terms that apply to all plans
  • Contact approval: Require approval before allowing certain plans to be purchased
  • Enquiry mode: Force inquiries instead of immediate signup for specific plans
  • Payment requirements: Define whether deposits or upfront payment is required
  • Portal access: Control who can see and select plans (public, logged-in only, members only)

Common Use Cases

Multi-Tier Pricing

Offer three tiers targeting different member segments:
  • Starter: Hot desk, part-time access
  • Professional: Dedicated desk, full-time hours
  • Executive: Private office with premium perks
Set prices that reward longer commitments or advance payment.

Seasonal Plans

Create temporary plans for short-term use:
  • “Summer freelancer plan” (3-month term)
  • “Event project team” (1-month renewable)
Retire them after the season, but existing contracts continue.

Special Benefit Bundles

Combine popular add-ons into premium tiers:
  • Standard plan + printing + storage = discounted bundle
  • Access to exclusive events or training
  • Priority resource booking

Credit-Based Pricing

If billing varies heavily by usage:
  • Sell “booking credit packages” as products
  • Include small credits in entry-level plans
  • Let members buy more credits as needed
This appeals to unpredictable users while providing predictable base revenue.

Troubleshooting and Tips

Members can’t purchase a specific plan: Check if the plan is hidden in portal settings or restricted to certain user types. Price changes not taking effect: Price changes apply to new contracts and future renewals, not active contracts mid-cycle. Renewal dates are scattered: This is normal. Each member’s renewal matches their start date, creating natural month-round billing flow. Booking credits reset unexpectedly: This is by design. Ensure your members understand benefits reset each period. Cancellation takes too long: If members must cancel through support, consider enabling portal cancellation for at least some plans to reduce support load.
