Overview
Email templates define the subject, content, sender, and copy recipients for automated messages sent by Nexudus. You can maintain templates in more than one language for each location. Go to Settings → Email editor. You need the email-template permission or administrator access.Edit a template
1
Choose the message type
Open the template for the event you want to change, such as a booking confirmation or invoice message.
2
Edit the subject and content
Update the email subject and body. Keep any existing merge tags unless you understand the data they insert.
3
Set sender and copy recipients
Set the sender name, reply-to address, and optional CC or BCC recipients.
4
Save and test
Save the template and trigger a suitable test workflow before relying on it for customers.

Languages and shared recipient settings
Create and maintain the subject and body for each language your location uses. The Email editor can copy sender, CC, and BCC settings to the language variants of a template. It does not translate the subject or content for you.The
VisitorRegistered template always uses the host’s email address as its reply-to address. You cannot override that address in the template.Merge tags
Templates can include merge tags in the form{%VariableName%}. Nexudus replaces a tag with information from the event when it sends the email, such as a customer name, invoice number, or reservation information.
Keep required merge tags in place. Before publishing a new template, send or preview a real example to confirm the tags resolve correctly.
Best practices
- Use a recognisable sender name and a monitored reply-to address.
- Add BCC recipients only where they are necessary for operations or compliance.
- Keep one tested version for each customer language you support.
- Review templates after changing booking, billing, or visitor workflows.
