Overview

You can use the customer import function to add multiple customers to a location in one go. This is the fastest option when you have a lot of customers to add or when you’re migrating an existing customer base into Nexudus. Imports run as tracked background jobs, so you can monitor progress and review validation results before the data is committed.

How to access

Go to Settings → Imports.
Customer imports require two-factor authentication to be enabled on your account. If it is not enabled, enable it in your account settings before starting the import.

Before you start

  • Have the customer data ready in a spreadsheet.
  • Confirm the exact names of any plans, teams, desks, or locations the file will reference — they must match exactly, including spelling and case.
  • If you use custom fields, create them in Nexudus first.
  • If you enable payment or printing options in the file, set up those integrations before importing.

Run the import

1

Download the template

  • On the Admin Panel, go to Settings → Imports.
  • Select Customers under What would you like to import?
  • Download the import template.
2

Add your data

  • Open the downloaded file in Excel or another tool that lets you edit CSV.
  • Add one customer per line using the dummy data in the first two rows as an example.
  • Remove the dummy data in rows 2 and 3.
Make sure you don’t remove the column headers. Column headers must stay in English.
3

Format your data

Use the Formatting Guidelines below to make sure your template is formatted correctly before uploading to Nexudus.
4

Save your file

Save the file in CSV UTF-8 format.
Don’t re-open the file after applying the custom date format or it may be reset.
5

Upload and preview

  • On the Admin Panel, return to Settings → Imports.
  • Select Customers under What would you like to import?
  • Upload your edited CSV file and click Open.
6

Import the data

Resolve any validation errors in the source file, then confirm the import and monitor the job until it completes.
Only one import can run at a time. Wait for the current import to finish, or cancel it, before starting a new one.

Formatting guidelines

  • Dates Columns must use the yyyy-mm-dd hh:mm format.
    Example: 2026-10-13 16:00.
  • Yes/no fields must be all uppercase.
    Example: YES or NO.
  • Addresses containing commas must be wrapped in double quotation marks.
Example: "12 Street, XYZ Building, City".
  • Existing Nexudus Items (plans, teams, desks, locations) must match exactly, including spelling, case, and spacing.
Example: You have a product named Parking Pass in Nexudus.

    ✅ Parking Pass

    ❌ parking pass

    ❌ ParkingPass

Tips

  • Start with a small, representative file before importing your full dataset.
  • Keep the original source file and a copy of the reviewed import file so you can investigate or repeat the import later.
  • Review the final result of the job before treating the imported data as ready to use.
